Should Builders Outsource Their Admin?
If you're running a building business, chances are you didn't get into it because you love answering emails, chasing invoices or spending your evenings catching up on paperwork.
You got into it because you're good at what you do.
But somewhere along the way, running the business starts taking up just as much time as doing the actual work.
You're on site all day, the phone keeps ringing, customers want updates, suppliers need chasing and there's a pile of invoices waiting to be sent. By the time you get home, you've still got another few hours of admin to get through.
Sound familiar?
It's something I see regularly when working with builders and other trades businesses. The work is coming in, the business is growing, but the admin behind it all is becoming harder to manage.
And that's usually when the question comes up: Should I outsource my admin?
When Does Admin Become a Problem?
A bit of admin comes with running any business. That's unavoidable.
But when you're spending your evenings sending quotes, forgetting to follow up with customers or constantly trying to remember what needs doing next, it's worth looking at whether your current way of working is actually working for you.
One of the biggest problems I see is that so much information is kept in the business owner's head.
A customer rings while you're on site. You make a mental note to call them back. A supplier needs an answer. Someone wants an invoice. You've got three WhatsApp messages about different jobs.
Before you know it, things start slipping.
And it's rarely because you don't care or aren't doing your job properly. There's just too much for one person to keep on top of.
What Admin Can a Builder Actually Outsource?
Probably more than you think.
You don't need to hand over the running of your business or employ someone full-time to get some help.
At Organise Me, the type of support we provide depends on what the business actually needs.
That might mean managing emails and customer enquiries, preparing and sending invoices, chasing outstanding payments, keeping job information organised, arranging appointments, following up with suppliers or making sure important paperwork doesn't get forgotten.
Sometimes it's simply having someone who knows what's happening across the business and can keep things moving while you're busy on site.
And importantly, you don't have to have everything organised before asking for help.
That's often the very reason you need it!
But Is Outsourcing Admin Worth the Cost?
It's a fair question, particularly when you're used to doing everything yourself.
But I'd encourage you to look at what your admin is already costing you.
How much time are you spending on paperwork in the evenings? How many quotes haven't been followed up? Are invoices going out as soon as jobs are completed? Have you ever forgotten to chase a payment because you've been too busy with the next job?
It's easy to think doing your own admin is free, but your time has a value too.
And when admin starts affecting customer communication, cash flow or your ability to focus on the work you're actually being paid to do, it can become an expensive problem.
That doesn't mean every builder needs to outsource everything. Sometimes a few better systems and processes are enough.
But if you're consistently struggling to keep up, having regular support could make a real difference.
You Don't Have to Hand Everything Over at Once
One of the things I always explain to business owners is that outsourcing doesn't have to be overwhelming.
You don't need to sit down and explain every part of your business in one meeting.
We can start with the basics.
Perhaps it's your inbox, invoicing or keeping on top of customer enquiries. Once that's running smoothly, we can look at what else would make your working week easier.
The aim is to build support around the way your business operates, rather than create another job for you to manage.
Because the last thing you need is to spend more time explaining admin than you would doing it yourself!
So, Should Builders Outsource Their Admin?
If you're managing everything comfortably, getting invoices out on time, keeping customers updated and still enjoying your evenings and weekends, you might not need to.
But if you're constantly playing catch-up, missing things or finding that the business is taking over your life, it's probably worth considering.
You don't have to wait until you're completely overwhelmed before getting some support.
And you certainly don't need to build a huge team to run a more organised business.
Sometimes having the right person keeping on top of the day-to-day admin is enough to give you back some much-needed time and headspace.
At Organise Me, we help builders and small business owners get the admin under control, whether that's ongoing admin outsourcing or putting better systems in place.
If you're wondering whether it's time to get some help, get in touch. We can have a chat about what's taking up your time and where some support might make a difference.
Because you've got enough to manage on site without taking all the paperwork home with you too.
Organised Wishes,
Helen
