These are the five tools I genuinely rely on every single week, not to look organised, but to be organised.

👉 They’re how I stay on top of client work, track where my time goes, keep my finances clear, and avoid relying on memory or last-minute scrambles to get things done.

💻 Asana

My digital brain.

This is where I manage client tasks, track leads, plan content, and give structure to the busiest of weeks. Whether I’m working solo or collaborating with a team, Asana is where ideas turn into action.

⏱️ Clockify

Time tracking made simple.

I use Clockify to track hours across different clients and services. It helps me stay aware of what’s profitable and avoid overdelivering on small packages without realising it.

📸 Dext

Receipts, handled.

I use Dext to snap receipts on the go and organise my business expenses in real time. No more digging through emails or wondering what that £23 was for, it’s all stored, sorted, and synced.

📊 Xero (plus GoCardless)

My finance system backbone.

With Dext feeding into Xero and GoCardless managing recurring payments, I’ve got a real-time view of what’s been paid, what’s due, and what needs chasing, with no spreadsheets required.

📆 Google Calendar

The glue that holds it all together.

If it’s not in my calendar, it’s not happening. I use it to time-block, protect focus hours, and make sure the week has a clear shape, not just a pile of tasks.

Nothing Fancy, Just What Works

None of these tools are trendy or particularly groundbreaking, but that’s exactly why I use them.
